Preview of the terms and agreement for CIL programmes for 2026-27
Schools receive an agreement with bespoke details regarding the programme they have arranged with their Area Leader. This webpage provides a preview of the agreement.
Breakdown of costs and payments
Deliverer base costs: [£1560 is representative total for 30-sessions]. The school is responsible for facilitating timely payments to the DDMP Deliverer and ensuring all administrative processes are completed as required. Booking and admin fee: £50 per programme (per agreement), billed or collected by DDMP after the agreement is confirmed.
Instrument supply, maintenance, delivery and collection: FREE – DDMP covers the costs for the provision of instruments to schools.
Planning and progression documentation: INCLUDED – DDMP Deliverers share documentation with schools as standard.
Support staff: FREE – DDMP provides a Music Support Practitioner where available.
Discount subsidies: In cases where a discount has been agreed (for small schools and programmes taking place in the mornings), the monetary value will be paid by Derby & Derbyshire Music Partnership to schools, who then pay the DDMP Deliverer for the full cost of the programme.
About the programme
Our programmes are designed to develop and extend pupils’ instrumental and musicianship skills, providing a strong foundation for future instrumental or vocal tuition. Our programme Deliverers share planning and progression documents to demonstrate how their programme aligns with, and contributes to, the wider music curriculum.
Agreement duration: This agreement remains in place for the full duration of the programme, as outlined above. Schools and DDMP Deliverers must inform us promptly of any changes to the agreed details to ensure the programme can continue to run effectively.
Inclusion: With a commitment to equitable and inclusive practice, DDMP Deliverers will liaise with schools regarding any educational needs.
Staffing: DDMP provides a trained Deliverer for all programmes, and a Music Support Practitioner, where available, to support. A schools staff member should be present at all times and play an active and authentic role in the lessons to support the Deliverer and the programme.
Performance: For programmes running for 15 or 30 sessions, the deliverer will work with the school to offer performance opportunities, showcasing pupils’ musical learning to an audience of parents and/or other pupils.
Quality: DDMP ensures its workforce are trained and supported to deliver quality programmes, and are supported by a robust Professional Development Review cycle. DDMP delivery teams also undergo enhanced DBS checks, annual criminal record declarations, and regular training in safeguarding and data protection. A letter of comfort is available to schools on request.
Suitability of space: The school will provide a safe, appropriate space for music-making, and any necessary changes to the teaching location should be discussed with the DDMP Deliverer as early as possible in the first instance.
Planning and communication
Getting started: The school and DDMP deliverer will coordinate directly to agree a start date, remaining session dates, and performance arrangements. It is helpful for the school to share its calendar with the deliverer and confirm any planned trips, INSET days or events so that alternative arrangements can be made with adequate notice. When scheduling sessions, we encourage schools and DDMP delivery teams to take into account the expected delivery window for instruments, as outlined in the schedules below.
Managing cancellations: Schools and DDMP delivery teams should communicate timely, where possible, about any sessions that need to be cancelled. Any sessions cancelled at short notice may be fully chargeable by the Deliverer.
Questions and queries: Schools should contact their DDMP Deliverer in the first instance regarding any questions or issues, as most matters can be resolved directly. If further support is needed, the central DDMP office team is available to assist. Instruments
DDMP commitments
Quality supply: We are committed to providing instruments suitable for Classroom Instrumental Learning. DDMP Deliverers and support staff will monitor instruments and make any necessary requests for the replacement of any defective instruments or those that have reached the end of their functional life, or to report any other concerns. DDMP also supplies necessary accessories (such as reeds, strings, oil, beaters...) under a fair-usage policy administered and requested by the programme Deliverer and support staff.
Adapted instruments: If a pupil may benefit from an adapted musical instrument due to a specific need, schools are encouraged to communicate with the DDMP Deliverer for guidance and support. We are committed to ensuring every child can access meaningful musical participation and will support schools throughout the process.
School commitments
Insurance: The school must ensure instruments are covered by insurance for loss or damage while on the premises or if sent home with pupils. Detailed guidance is available on our Information for Schools webpage to help navigate the different needs of each school and programme.
Suitability of space: The school will provide an appropriate space for the safe storage of instruments..
Instrument delivery and collection schedules
To support the smooth collection and delivery of over 6,500 instruments across Derby and Derbyshire, all arrangements for programmes beginning in September are requested to be confirmed by 1 June 2026. The schedule below outlines our delivery timelines; however, we will endeavour to complete deliveries and collections as early as possible.

Collection window: Within first 5 full weeks of the following academic year (pre-summer holiday if possible)
- 30 sessions with an instrument swap after 15 sessions (Sept start)
Delivery window: Set 1: Within first 3 full weeks of the autumn term (pre-summer holiday if possible) / Set 2: The week before/after February half term
Collection window: Set 1: The week before/after February half term / Set 2: Within first 3 full weeks of the following academic year (pre-summer holiday if possible)

Programmes starting in September but agreed after 1 June 2026 Delivery will be aligned as closely as possible to our standard timelines. While exact delivery dates cannot be guaranteed, we will make every effort to provide instruments at the earliest opportunity.
Extra instruments: In cases where a small number of additional instruments are needed outside of normal delivery/collection times, the Deliverer or support staff will arrange this with DDMP to take place with Derbyshire County Council's Area Mail (who will service Derby City schools on our request).
Bespoke deliveries: Bespoke deliveries or collections outside of the published schedule can be requested, but are subject to availability. Schools may be charged up to £250 if such an arrangement requires additional resources to achieve.
Changes in arrangements post-delivery of instruments: Schools may be charged up to £250 for collection or delivery of new instruments if required as a result of details in this agreement being changed after a delivery has occurred. This will be considered on a case by case basis.
Unexpected or emergency measures
In exceptional circumstances, national emergencies or due to legislative changes, the terms of this agreement may be superseded by specific measures or guidance introduced by the government or local authorities. We will communicate any such changes to schools as quickly as possible in such circumstances.
